Xero to Odoo Migration: How to Move Without Losing Data (2026)

Usman AnwarOzonLayer · Odoo Silver Partner 13 min read

A Xero to Odoo migration moves your chart of accounts, contacts, products, open invoices and bills, and opening balances into Odoo at a clean cut-over date, usually the first day of a VAT quarter or financial year. Your full transaction history normally stays in Xero as an archive. Done in the right order, with balances reconciled, you lose no data and keep MTD filing on track.

To migrate from Xero to Odoo without losing data, choose a cut-over date at the start of a VAT period, ideally a financial year end. Export your chart of accounts, contacts, products, fixed asset list, open invoices and bills, and a trial balance from Xero. In Odoo, map your accounts to the UK chart, import contacts and products, then load each open invoice and bill as a single amount due against a clearing account. Post the opening trial balance as one journal entry and check that receivables, payables, stock and bank agree with the subledgers. Reconnect bank feeds, replace or reconnect the apps that used Xero, and keep a UK payroll provider, because Odoo has no UK payroll localisation. File the last VAT return from Xero, connect Odoo to HMRC for the next one, and keep your Xero history archived. A focused rollout usually takes 4–8 weeks; multi-company projects take 4–6 months or more.

Signs it is time to move from Xero to Odoo

Xero is good small-business accounting software. The pressure to move usually comes from everything that sits around it, not from the ledger itself. These are the signs we see most often in UK businesses:

  • Too many connected apps. Stock, CRM, quoting, timesheets and e-commerce each live in a separate add-on, and the figures in each one disagree.
  • Stock is managed outside the books. Stock values are kept in a spreadsheet or add-on, and month-end needs manual journals to bring them into Xero.
  • More than one company. Intercompany charges and consolidation are done by hand in spreadsheets.
  • Operations need a system, not a ledger. Purchase approvals, manufacturing, field service or project billing have outgrown add-ons.
  • Reporting has hit its limits. Department or project reporting depends on tracking categories that no longer fit the way the business is run.
  • Add-on subscriptions keep adding up. Several per-user add-ons now cost more than the accounting software.

If accounting is your only need, staying on Xero may be the right call. Our Odoo vs Xero comparison sets out where each one fits, and the Odoo cost guide for the UK covers subscription and implementation costs.

What data moves from Xero to Odoo

The rule that keeps migrations clean is simple: move open items and balances, and archive closed history. This table shows what normally moves and how.

Chart of accounts mapped to Odoo’s UK chart

When you install the UK localisation, Odoo provides a chart of accounts that it describes as CT600-ready, with a VAT100-ready tax structure. Rather than importing your Xero chart over the top, map each Xero account to an Odoo account in a spreadsheet with three columns: Xero code, Odoo code, and treatment (keep, rename, merge or add). Odoo’s documentation notes that the chart of accounts must be in place before other records, so this mapping is the first piece of real work.

Tracking categories become analytic accounts

Xero uses tracking categories to tag transactions by department, region or project. Odoo handles the same need with analytic plans (for example, “Department”) and analytic accounts underneath (for example, “Sales” and “Operations”). Default rules can then apply analytic tags by product, account or contact, so staff do not have to remember them on every line.

History stays archived

Odoo can import years of transactions, but it rarely pays off. Re-importing closed history adds cost, risk and reconciliation work for figures nobody will change. Most businesses keep Xero as the archive. Xero says that after you cancel, you can still regain access to the archived data for up to seven years by reactivating the subscription, unless you ask for it to be deleted. Export your key reports anyway, so you are not relying on that alone.

How to export your data from Xero

Xero Central’s guide to exporting data recommends exporting your chart of accounts, contacts, invoices, bills and fixed asset list before you cancel. A complete export means pulling data from several screens. Work through this checklist:

  1. Chart of accounts from the chart of accounts screen.
  2. Contacts as a CSV file, including addresses, VAT numbers and default accounts.
  3. Products and services, with codes, descriptions, prices and cost.
  4. Invoices, bills and credit notes as CSV files. Xero also lets you export prepayments and overpayments, which you will need if any are still open.
  5. Reports at the cut-over date: trial balance, balance sheet, profit and loss for the year to date, aged receivables, aged payables and the bank reconciliation report. Save them in Excel and PDF.
  6. VAT returns already filed, for your records.
  7. Fixed asset register and tracking category lists.

Menu names change from time to time, so check the current Xero Central article before you start. Run the exports twice: once early for a trial migration, and again on cut-over day for the final load.

Importing into Odoo: templates and opening balances

Odoo offers import templates in most list views through Actions > Import records. Odoo’s accounting onboarding guide stresses that the order of imports matters, because later records depend on earlier ones. A safe order is:

  1. Confirm the UK fiscal localisation, fiscal year, currencies and VAT periods.
  2. Load the mapped chart of accounts.
  3. Check taxes. Map every Xero VAT rate you use, such as standard, reduced, zero-rated, exempt and any reverse charge codes, to an Odoo tax.
  4. Import contacts and their bank accounts.
  5. Import products.
  6. Import open invoices and bills.
  7. Import stock quantities.
  8. Import the opening trial balance.
  9. Set up bank opening balances.

Open invoices and bills

Odoo’s guide recommends importing each open invoice or bill as one line for the amount still due, posted to a receivable or payable clearing account, rather than recreating every original line. The records arrive as drafts, and you confirm them in bulk. Keep the original Xero invoice number in the reference, so customer remittances still match. As a check, open invoices minus open credit notes must equal the receivables balance in your trial balance, and the same applies to bills and payables.

Opening trial balance

Take the Xero trial balance at the cut-over date and replace the receivables and payables lines with the same clearing accounts. This stops those balances being counted twice. Import the file as a journal entry in the Miscellaneous Operations journal, review the draft, and post it. Once everything reconciles, the clearing accounts net to zero, and Odoo’s guide suggests changing their type so they drop out of reports.

Stock

Confirm product costs first, then use Odoo’s inventory count import template. Quantity multiplied by cost across all products must equal the stock balance in the trial balance.

Bank feeds, connected apps and payroll

Bank feeds

Xero bank feeds do not transfer. In Odoo you connect each bank account again through bank synchronisation, which needs an Odoo Enterprise subscription and syncs every twelve hours by default, or you import statement files. Create an opening statement whose starting balance equals the bank balance at cut-over, and delete any synced transactions dated before the trial balance date. Keep the Xero feed running until your final Xero bank reconciliation is done.

Apps connected to Xero

List every app that reads from or writes to Xero, then decide what happens to each one:

  • Replace with Odoo. Stock add-ons, CRM, quoting, timesheets, expenses and document capture often move into Odoo’s own apps.
  • Reconnect. Payment providers, e-commerce platforms and specialist tools may need a connector to Odoo instead.
  • Retire. Anything that only existed to bridge gaps between other tools.

Switch off every Xero integration on cut-over day, so nothing keeps posting to the old ledger. Our Odoo integration services in the UK cover the connectors that need building or testing.

Payroll

Odoo’s current documentation lists payroll localisations for 24 countries, and the United Kingdom is not one of them. Odoo’s UK documentation instead describes a connector to Employment Hero for UK payroll. If you run payroll in Xero today, it ends when your Xero subscription ends. The practical answer is to move payroll to a UK payroll provider or bureau before you cancel Xero, then post a payroll journal into Odoo each pay period. Many businesses time the payroll switch for the start of a tax year, so year-to-date figures sit in one system.

Keeping Making Tax Digital for VAT on track

Odoo’s UK Accounting Reports module files VAT returns under Making Tax Digital. You connect the company to HMRC once from the tax report, import your obligations, and click Send to HMRC. Our Odoo Making Tax Digital guide walks through the setup in full.

Cut-over timing around VAT quarter ends

The cleanest plan is to go live on the first day of a VAT period. File the final return for the last full quarter from Xero, and let Odoo produce every return after that. Odoo’s own guide says the easiest point to switch is the end of a financial year, so if your year end lines up with a VAT quarter end, use it. Avoid splitting one quarter across two systems. If you have to, remember that VAT Notice 700/22 requires data moved between software to travel over digital links. A CSV import counts; copying and pasting or re-keying figures does not.

Odoo’s MTD limits to plan for

  • In a multi-company database, only one company and one user can be connected to HMRC at a time, so plan who files for which company.
  • A return more than three months late can no longer be submitted through Odoo, according to Odoo’s UK localisation documentation, so do not let the first Odoo return slip.

Parallel running and reconciliation

Parallel running means keeping Xero available while Odoo takes over. Many businesses post live work in Odoo only and keep Xero read-only for comparison during the first month. Where the risk is higher, they post the same month in both systems. Either way, sign off these checks before you retire Xero:

  • The Odoo trial balance at cut-over matches the Xero trial balance line by line.
  • Aged receivables and aged payables agree to the penny, customer by customer and supplier by supplier.
  • Every bank and credit card balance agrees to the bank statement.
  • Stock value agrees to the stock account.
  • The VAT control account carries the right balance into the new period.
  • The first month’s profit and loss in Odoo looks sensible against the same month last year.

Your finance lead or external accountant should sign each check, so there is a clear record of what was agreed.

Risks and checks before go-live

  • Duplicate contacts. Two records for one customer splits their balance. Clean these up in Xero before the first export.
  • Mismatched VAT codes. One wrongly mapped rate will misstate the first Odoo return. Test a sample of invoices for each rate.
  • Unreconciled bank items. Clear old items in Xero first, or carry them into Odoo as known outstanding items.
  • Foreign currency balances. Import open items in their original currency and check the revaluation.
  • Credit notes, prepayments and overpayments. These are easy to miss and throw out the aged reports.
  • Apps still posting to Xero. Turn integrations off on cut-over day.
  • Payroll left behind. Move payroll before the Xero subscription ends.
  • Losing access too early. Do not cancel Xero until every export is saved and checked.

How long a Xero to Odoo migration takes

Timelines depend more on scope and data quality than on the number of records. These bands are indicative, not a quote:

Project typeTypical scopeIndicative timeline
Focused rolloutOne company, accounting plus one or two apps such as Sales or Inventory4–8 weeks
Mid-size projectSeveral apps, stock, purchasing, integrations and a parallel run2–4 months
Multi-companySeveral entities, intercompany, consolidation and complex integrations4–6+ months

The biggest time savers are a clean Xero file, a cut-over date fixed early, and a decision-maker who can sign off the mapping quickly. For a rough budget, try the Odoo implementation price calculator, then read about our Odoo migration services in the UK and Odoo implementation services in the UK.

Frequently asked questions

Can I import my full Xero transaction history into Odoo?

You can, but it is rarely worth it. Most UK businesses move open invoices and bills, stock and an opening trial balance at the cut-over date, and keep closed history in Xero as an archive. Re-importing years of settled transactions adds cost and reconciliation work for figures nobody will change. Export key reports such as the trial balance and aged receivables in Excel and PDF as well.

How long does a Xero to Odoo migration take?

As an indicative guide, a focused rollout for one company with accounting and one or two apps takes 4 to 8 weeks. A mid-size project with stock, purchasing and integrations takes 2 to 4 months. Multi-company projects with intercompany and consolidation take 4 to 6 months or more. Clean data and an early cut-over date shorten every band.

Does Odoo do UK payroll?

Not natively. Odoo's documentation lists payroll localisations for 24 countries and the United Kingdom is not one of them. Odoo's UK documentation describes a connector to Employment Hero instead. Most businesses keep or appoint a UK payroll provider or bureau and post a payroll journal into Odoo each pay period. If you run payroll in Xero, move it before cancelling Xero.

Will my bank feeds move from Xero to Odoo?

No. Bank feeds do not transfer between systems. In Odoo you reconnect each bank account through bank synchronisation, which needs an Odoo Enterprise subscription, or import bank statement files. You then create an opening statement whose starting balance matches the bank balance at cut-over. Keep the Xero feed running until your last Xero bank reconciliation is complete.

When is the best time to switch from Xero to Odoo?

Go live on the first day of a VAT period, and ideally at a financial year end, which Odoo's own guide calls the easiest point to switch. File the last VAT return for the final full quarter from Xero, then let Odoo produce every return after that. Avoid splitting one VAT quarter across two systems.

Can Odoo submit VAT returns to HMRC under Making Tax Digital?

Yes. Odoo's UK Accounting Reports module connects to HMRC from the tax report, imports your VAT obligations and sends the return with a Send to HMRC button. In a multi-company database only one company and one user can connect at a time, and a return more than three months late cannot be filed through Odoo.

What happens to my Xero data after I cancel?

Xero has a one-month cancellation notice period, and once cancelled you lose access to that organisation. Xero says the archived data can be accessed again for up to seven years by reactivating the subscription, unless you ask for it to be deleted. Export every report and list you need before cancelling, rather than relying on reactivation.

Do Xero tracking categories transfer to Odoo?

The structure does, but not as a direct import of history. Xero tracking categories map to analytic plans and analytic accounts in Odoo, for example a Department plan with Sales and Operations accounts beneath it. Rebuild the structure in Odoo before go-live, and set default rules so analytic tags apply automatically by product, account or contact.
