This Privacy Policy explains how OzonLayer IT Services ("OzonLayer", "we", "us" or "our") collects, uses, shares and protects personal information when you visit ozonlayer.com, contact us, request a demo or quote, apply for a job, or use our Odoo ERP and IT services. It also explains the choices and rights you have.

1. Who we are

OzonLayer IT Services is an Odoo ERP partner and IT services provider headquartered in Riyadh, Saudi Arabia, with an office in Sarai Alamgir, Punjab, Pakistan. We serve clients in Saudi Arabia, the United Arab Emirates, the United Kingdom, Pakistan and other countries. OzonLayer is the controller of the personal information described in this policy. You can contact us about privacy at info@ozonlayer.com.

2. Information we collect

We collect information you give us directly, including:
  • Contact and demo requests: your name, email address, phone number, company name, the subject of your enquiry and your message.

  • Job applications: your name, email address, phone number, CV or resume, cover letter and any other information you choose to include.
  • Client projects: business contact details and project information you share with us when we provide consulting, implementation, customisation, migration, training or support services.

When you browse our website, we and our service providers automatically collect technical information such as your IP address, browser type, device type, operating system, referring website, pages viewed, time spent on pages and approximate location derived from your IP address. Our hosting provider also keeps server logs for security and performance purposes.

3. How we use your information

We use personal information to:
  • Respond to your enquiries and arrange demos, consultations and quotes.
  • Deliver, manage and support the services you have engaged us for.
  • Review job applications and contact candidates.
  • Understand how visitors use our website so we can improve its content, speed and usability.
  • Send you service updates and, where you have agreed, information about our services. You can unsubscribe at any time.
  • Keep our website and systems secure, prevent fraud and abuse, and comply with our legal obligations.

4. Legal bases for processing

Where data protection laws such as the UK GDPR or Saudi Arabia's Personal Data Protection Law (PDPL) apply, we rely on one or more of the following legal bases: taking steps at your request before entering into a contract, or performing a contract with you; our legitimate interests in running and improving our business, provided these are not overridden by your rights; your consent, for example for non-essential cookies or marketing, which you can withdraw at any time; and compliance with our legal obligations.

5. Cookies and analytics

Cookies are small text files stored on your device. Our website uses:
  • Essential cookies that make the website work, keep it secure and deliver cached pages quickly.
  • Analytics cookies set through Google Analytics and Google Tag Manager, which help us understand how visitors find and use our website.
  • Third-party cookies set by embedded content such as YouTube videos, which may collect information when you play a video.

You can block or delete cookies through your browser settings, although some parts of the website may not work properly if you do. You can also opt out of Google Analytics by installing the Google Analytics opt-out browser add-on.

6. How we share your information

We share personal information only when needed, with:
  • Service providers who help us run our business, including website hosting (Hostinger), analytics and tag management (Google), email and communication tools, and the software we use to manage enquiries and projects.
  • Odoo S.A. and other technology partners, where this is necessary to deliver services you have asked for, such as licensing or hosting your Odoo system.
  • Professional advisers such as lawyers, accountants and auditors.
  • Authorities when required by law, or to protect our rights, our clients or others.
  • A buyer or successor if our business is reorganised, merged or sold.

Our service providers may only use your information to provide services to us. We do not sell your personal information.

7. International data transfers

Our team works from Saudi Arabia and Pakistan, and some of our service providers store or process data in other countries, including the United States and countries in Europe. As a result, your personal information may be transferred outside the country where you live. When we transfer personal information, we take the steps required by applicable law to protect it, such as using contractual safeguards approved by the relevant authorities.

8. How long we keep your information

We keep personal information only for as long as we need it for the purposes described above:
  • Enquiries and demo requests: up to 24 months after our last contact with you, unless you become a client.
  • Client and contract records: for the duration of our relationship and for as long afterwards as tax, accounting and legal requirements demand.
  • Job applications: up to 12 months after the recruitment process ends, unless you agree that we may keep your details for future roles.
  • Analytics data: for the retention period set in our Google Analytics account.
When information is no longer needed, we delete or anonymise it.

9. How we protect your information

We use appropriate technical and organisational measures to protect personal information, including encrypted (HTTPS) connections, access controls and limiting access to staff and providers who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Your rights

Depending on where you live, you may have the right to:
  • Access the personal information we hold about you and receive a copy.
  • Correct information that is inaccurate or incomplete.
  • Ask us to delete your information.
  • Restrict or object to certain processing, including direct marketing.
